Getting Started

It’s easy to start using Saasu if you learn a couple of key things and follow the Setup Process below. It should take about 15 minutes so grab a cup of coffee.

A Few Things Worth Knowing

If you are coming from another accounting system the migrate guide has some hints on getting data out of your old system and what you can bring into Saasu.

Reading our blog is a great way learn about new features as they come out.

There’s no substitute for good paid Advisers, however, your local Tax Authorities usually have good free information and advice. Note that Saasu can’t give you accounting advise.

Key Terms

Contacts - Are customers and suppliers. A contact has a person and a company. One company can have many people attached to it. A contact is the ‘other party’ in a financial transaction. Having a Contact on a transaction helps you track how much you owe them or how much they owe you.
Business File - All of the financial transactions and related information for your specific legal or tax entity such as company, organisation or individual. You may set up multiple business files for different entities if required. You can go back and add or change setup information at any time by going to Settings in the top menu and then the Main section.
Tags - A way of classifying information including transactions so that you can report on them later. Useful for business divisions, warehouse locations, projects, strategic initiatives, anything that needs tracking flexibly.
Bank Accounts - Are for making and receiving payments. They can also be credit cards or loan accounts.
Accounts - Are for classifying transactions for their purpose so they end up in the correct part of the profit and loss (or balance sheet).

15 Minute Setup

  1. Bank Accounts, Credit Card & Loan Accounts - Click the plus icon next to Bank Accounts in the Main Menu.
  2. Accounts - Click the plus icon next to Accounts in the Main Menu.
  3. Contacts - Click the plus icon next to Contact in the Main Menu.
  4. Opening Balances - If this is a new business you won’t need opening balances. Opening balances help you carry your current financial position into Saasu from your old software. Add opening balances from Main Menu » Accounts (list) » Opening Balances link.
  5. Business file’s tax identity details - Configure your file (legal/tax entity) at Settings » Main and then working through the 3 links. Add the details for the tax entity that this file represents. Make sure you confirm or change your GST/VAT/TAX status in the Manage File Identity Settings area
  6. Payroll - Add your Employees and large companies might even consider using Pay Groups for processing Group Payroll and creating direct to bank files for multiple employees at once.
  7. Sales Invoice template - From Settings look in the Sales section and click on PDF Template Settings. From here you can setup your invoice look you are after. Have your logo image file in GIF or JPG format handy.
  8. Again from the Sales section click on Email Template Settings to setup your email format for sending Sales Invoices. Make sure you include a BCC copy to yourself by default.
  9. Go through all the other sections of settings to familiarize and set your settings as you feel necessary.
